Orion’s Embrace CIC – Practitioner Terms & Conditions

Thank you for your interest in supporting Orion’s Embrace CIC, a community-led organisation dedicated to helping people access holistic healing and emotional support through a wide network of trusted practitioners.

These Terms & Conditions outline our working agreement with all practitioners in our directory and referral network.  Please read carefully before joining.


1. Purpose & Ethos

Orion’s Embrace CIC exists to make holistic therapies accessible, whether self-funded or supported.  We offer individuals more than just one option — we help them explore different therapeutic paths that suit their personality, needs, and circumstances.

Someone experiencing stress and anxiety might come to us thinking they need counselling — but leave with a supportive path that includes counselling, Reiki, breathwork, and emotional coaching.  We empower people to make informed, intuitive choices in a safe and guided way.

Clients pay Orion’s Embrace CIC directly (even when self-funding), and we handle all practitioner payments.


2. Practitioner Eligibility

To work with us, practitioners must:

~ Have appropriate qualifications or demonstrated experience in their field.

~ Hold valid public liability and professional indemnity insurance.

~ Uphold professional boundaries and ethical conduct.

~ Complete the Services Offered Form.

We welcome both formally trained and community-led healers who practise safely and with integrity.


 

3. Safeguarding & DBS Requirements

If offering 1:1 sessions in private settings (e.g. Your home or a client’s home), you must provide a Basic DBS check, dated within the last 3 years.

You must also agree to follow the Orion’s Embrace Safeguarding Policy. This includes maintaining safe spaces, reporting any concerns, and appropriate record-keeping.

4. Services Offered Form

You must complete a Services Offered Form, which collects:

~ Your therapies, areas of focus, and session types (in-person, online, phone).

~ Your standard fee.

~ Your availability and referral preferences.

~ Whether you are open to discounted work for CIC-funded clients.

~ Whether you are open to donating time (see Section 13).

5. Client Referrals

Clients referred through Orion’s Embrace fall into two categories:

~ Self-funded clients who choose to book via the CIC

~ CIC-supported clients who receive part or full funding

You will be paid the same session fee for both.  You do not need to know whether a client is self-funding or funded — all clients are treated equally.  

We manage all the funding and admin behind the scenes.

You’ll also be encouraged to refer people back to us if they contact you directly but cannot afford private sessions.


6. Referral Process

Here’s how our process works:

  1. A client submits a support request form
  2. Orion’s Embrace reviews it and finds potential practitioner matches
  3. We contact practitioners (via email or preferred contact method listed on your form).
  4. You’ll receive an anonymised outline and a link to a short Practitioner Response Form, to be submitted by 9:00 PM the day after it’s sent

The form asks for: – Your proposed approach – Availability to begin – Number of sessions – Fee per session – Format (in-person, online, phone)

We pass all suitable responses to the client, who then chooses the practitioner(s) they feel drawn to.


7. Collaborative Care

Clients may be supported by more than one practitioner, but this will usually be through separate sessions, not co-delivered.  If collaboration is needed, we will speak with you first and ensure clear boundaries.


8. Session Extensions

If you feel a client would benefit from more sessions than originally agreed, contact us to request an extension before continuing.  

We aim to be flexible, especially when progress is being made.


9. Fees & Payment

  • You set your standard session fee on your Services Offered Form.
  • This applies to all clients — self-funded and CIC-funded.
  • Clients always pay the CIC, never you directly.
  • Once sessions are confirmed complete, we pay you your agreed rate.
  • If you choose to offer a discounted rate, this helps us support more people — but is entirely optional.

10. Mileage

Mileage is only claimable for clients you have through the CIC.

Reimbursement is available at our agreed CIC rate.

11. Cancellations & No-Shows

  • You will still be paid for client no-shows, unless they cancel more than 48 hours in advance.
  • If the CIC cancels a session (e.g.funding issue or unforeseen event), we will give at least 2 days’ notice.
    • Example: if the session is Wednesday, we must notify you before 7:00 PM on Monday for cancellation to be unpaid.
  • If we fail to do so, you will still be paid.

 

12. Communication & Confidentiality

  • When a referral opportunity is shared, you are expected to respond within 24–36 hours, ideally by 9:00 PM the day after it’s sent.
  • If you’re unable to take the client, a quick “not available” reply is appreciated.
  • Client details must be treated confidentially and stored safely in line with your usual practice.
  • All communication can be done via email, phone, or your preferred method as listed on your Services Offered Form.

13. Optional Practitioner Time Donation

We invite practitioners to donate up to one day per month of unpaid time, completely voluntarily.

Examples include: – Offering a free session for someone in need – Running a free workshop, talk, or retreat session (the CIC may charge for access; income stays in the CIC) – Helping run drop-ins, support circles, or events – Assisting with the wellbeing hub or helpline (when live)

This is optional, and we know your energy may vary — just let us know what feels right for you on your registration form.


 

14. Client Boundaries & Referrals

  • Clients referred through Orion’s Embrace are part of our care system and support pathway
  • Practitioners must not approach clients privately for ongoing paid work during or after funded/self-funded sessions
  • If a client chooses to reach out to you independently after their time with us has ended, you are free to work with them privately — but please handle this with care and transparency
  • If a client refers a friend or family member, that person should be directed to come back through Orion’s Embrace first, even if they already know who they want to work with
    • Once their referral form is completed and we’ve done our brief intake, they can then be matched straight back to you if appropriate
    • This helps us track impact, manage funding, and ensure consistency across all referrals

15. Becoming a CIC Member

If you’d like to help shape Orion’s Embrace, you can apply to become a formal Member.  This includes:

  • A voice in CIC decisions (voting rights).
  • More involvement in shaping direction and priorities
  • No financial liability (membership is legally capped at £1)
  • You’ll be asked about this on your form.

16. Leaving the Network

You can withdraw at any time by emailing us. We simply ask that you complete any active client sessions unless otherwise agreed.


 

17. Agreement

By registering with Orion’s Embrace CIC, you confirm you’ve read and agree to these Terms & Conditions. We’re so grateful to have you walking this path with us — together we’re creating something beautiful, inclusive, and truly holistic
